How to truly prioritize with the Eisenhower matrix

June 8, 2026 · 5 min read

You finish the day exhausted but feel you made no progress on what truly matters. The problem isn't lack of time: it's that you spend the day handling the urgent and never reach the important. The Eisenhower matrix fixes that.

The four boxes

Each task falls into one of four categories based on two questions: is it urgent? is it important?

  • Urgent + important: do it NOW (a deadline today, an emergency).
  • Important but not urgent: SCHEDULE it (exercise, learning, planning). Your growth lives here.
  • Urgent but not important: DELEGATE it if you can (interruptions, some emails).
  • Neither urgent nor important: ELIMINATE it (scrolling, distractions).

The quadrant that changes your life

Most people live in "urgent + important" (stress) and "neither" (distraction). People who advance live in "important but not urgent": what doesn't scream today but defines your future. Habits, health, projects. If you don't schedule it, the urgent always eats it.

How to use it every day

  • In the morning, write your tasks and sort them into the 4 boxes.
  • Do 1-2 things from the "important not urgent" quadrant first, before the day fills up.
  • Protect that time like an appointment: exercise, writing, studying. Don't let the urgent invade it.

Knowing what's important is easy; the hard part is protecting that time every day when life pushes. A coach that reminds you of your important block —and asks if you did it— keeps you in the right quadrant. That's what Cero Excusas does.
